Act Overview
The Act module is where plans and meetings turn into concrete work. It bridges the gap between strategic decisions made in committees and day-to-day action tracking, giving everyone a centralized workspace to prepare meetings, execute actions, and monitor progress.
The Plan → Organize → Act → Steer Workflow
Pilotus follows a four-module cycle for strategic management:
- Plan — Define strategic orientations, objectives, and actions
- Organize — Create committees that oversee plan implementation, schedule meetings, and make decisions
- Act — Prepare and run meetings, execute actions on a Kanban board, and track progress
- Steer — Monitor overall performance with dashboards and KPIs
The Act module sits at the execution stage — it’s where your organization’s strategic intent becomes daily work.
The Five Tabs
When you open the Act module, you’ll see five tabs:
The Prepare tab is your meeting coordination workspace. Use it to:
- Schedule and manage meetings
- Build agendas with discussion items
- Track attendee participation
- Coordinate meeting notes
This tab is restricted to Owners and Contributors of committees. Readers cannot access it.

The Meeting tab provides a read-only view of meetings for all users, including those with Reader access. It shows the same meeting information as the Prepare tab, but without editing capabilities.
This ensures everyone can stay informed about meeting outcomes without needing elevated permissions.

The Kanban tab is your visual action board. It displays all accessible actions organized by status columns:
- Pending — New or not yet started
- In Progress — Currently being worked on
- Blocked — Waiting on something
- Completed — Finished
Drag and drop actions between columns to update their status. Filter by plan, committee, user, or search text.

The Statistics tab provides aggregate metrics across all your actions and meetings:
- Action counts, completion rates, and priority breakdowns
- Meeting attendance rates and scheduling overview

The Archived tab lets you browse completed or archived items:
- Archived Actions — Table view with the ability to unarchive
- Archived Meetings — Timeline view of past meetings
Toggle between actions and meetings using the context switcher.

Permissions
The Act module respects committee-level permissions. Access depends on your role in each committee:

Accessing the Decide Module
Find the Act module through:
- Sidebar — Click “Act” in the main navigation
- Cross-module links — Actions created in Plans or Organiser appear on your Kanban board
- Search — Find specific actions across all modules
