Getting Started

Welcome to Pilotus! This guide will help you get started with the platform and understand how to navigate its features.

What is Pilotus?

Pilotus is a strategic planning and governance platform designed for educational organizations. It is organized into six modules:

  • Plan — Create and manage strategic plans with objectives, actions, and key results (OKRs)
  • Organize — Run committees with meetings, agendas, decisions, and follow-ups
  • Act — Track all your personal actions in one place with Kanban, list, and calendar views
  • Steer — Monitor KPIs and track actions across your entire organization
  • Organization — Manage members, roles, tags, and organization-wide settings
  • My Account — Edit your profile, customize your avatar, and manage your preferences

Logging In

  1. Go to your organization’s Pilotus URL
  2. Enter your email address and password
  3. If this is your first login, you’ll receive a verification code by email
  4. Enter the 6-digit code to verify your account

The Sidebar

The sidebar on the left is your main navigation. It contains the six modules:

  • Plan — Your strategic plans (expandable to show individual plans)
  • Organize — Your committees (expandable to show individual groups)
  • Act — Your personal action tracker (Kanban board, list, calendar)
  • Steer — Organization-wide action tracking and KPI dashboard
  • Organization — Organization settings and member management
  • Search — Find anything across your organization

The Header

The header at the top shows:

  • Your current location in the app
  • Quick actions relevant to your current view
  • Your profile and language toggle

Your Dashboard

When you log in, you’ll see your organization’s home screen with:

Actions assigned to you that are due soon

Recent Plans

Plans you’ve recently worked on

Upcoming Meetings

Meetings scheduled in the next days

Quick Stats

Overview of your tasks and progress

Permission Levels

Pilotus uses a triple-level permission system. Each level is completely independent — organization admin does not automatically grant plan or committee access.

Organization Level

Quick Start: Your First Steps

  1. Explore your plans

    Click on Plan in the sidebar to see the strategic plans you have access to. Click on any plan to view its objectives and actions.

  2. Check your actions

    Go to Act to see all actions assigned to you across all plans and committees. Use the Kanban board to drag actions between status columns.

  3. Review upcoming meetings

    Open Organize in the sidebar to see your committees and upcoming meetings. Click on any meeting to view its agenda.

  4. Try the search

    Use the Search feature to find plans, actions, decisions, or colleagues quickly. The search works across all content you have access to.
